  • Friday 18th July – 8:00 - 13:00 – Please do not arrive after 13:00 as this is when the public will be arriving.
  • Saturday 19th July – 7:30 – 9:30 (latest, please allow time for traffic)
  • Sunday 20th July- 7:30 – 9:30 (latest, please allow time for traffic) Pack up can start at no earlier than 19:00
  • Monday 21st July – Must be off site by 13:00

Please arrive via GATE 1 where you will be met by security. Please have your tickets and vehicle passes ready to be scanned. You will then be met and escorted to your area by a member of the team. Any issues then please call us ​on 07584 357 808


Please note that there will be no vehicle movement once the event has started. If you know that you will need to leave between the hours of 10:00 & 23:00, please park your vehicle on the public car park opposite before 9:45.


EVENT RULES & REGULATIONS

  1. Whilst on the Showground, all exhibitors, their contractors and employees will be subject to the Rules and Regulations of the Event Organisers, as interpreted by the Event Organisers, its Stewards and Officials appointed by them.  The Stewards have the power to order the removal of any article from the Showground or to close any the stand of any exhibitor who does not conform to the regulations of the Event or the directions of the Stewards or Officials and, if necessary, to expel such exhibitors or his/her representatives from the Event Team.


  1. Times of Opening. All trade stands must be open and be manned between the hours of 10:00 – 19:00. Night trading is optional but welcomed.


  1. Responsibilities of Exhibitors. The Exhibitor shall assume full responsibility including liability for all claims arising out of the exhibition, handling or housing of any animal, article, plant machinery or object of any kind exhibited on the Showground and the conduct of the trade stand generally. The Exhibitor shall indemnify the Event Organisers against all claims, damages or expenses whatsoever in any way arising out of the presence of the Exhibitor or his/her exhibits on the Showground.  Acceptance of these provisions shall be a condition of entry.
Exhibitors must insure against fire, theft and damage not only as regards to their property but also against third party claims. Exhibitors may be asked to provide documentary evidence of this.
  1. Unauthorised Trading. The Stewards and Officials have the power to remove from the Showground any exhibitors whose goods are not in accordance with the description given on the Application Form or any vendor of unauthorised articles who may have gained admission to the ground.  The definition of what constitutes unauthorised articles shall rest entirely with the Stewards and Officials.
  1. Moving Machinery & Equipment. All exhibits containing moving parts must be fitted with guards to comply with standard safety regulations governing that exhibit. All shafting, belts, gearing or any moving part which might be dangerous to the public must be fitted with adequate guards.  All implements or attachments displayed in the raised position must have adequate physical supports.  A risk assessment and safe working procedure must be completed and returned with the Application Form for all trade stands.
 
  1. Dogs on a lead are allowed. Please make sure that you are a responsible owner and all dog waste is picked up and disposed of correctly. There is an area for free running at the dog park opposite the showground.
  1. Demonstrations. Exhibitors must restrict their activities or demonstrations, oral or otherwise, to the confines of their stand specifically allocated for this purpose.  Such demonstrations must be quiet and unobtrusive in order that neighbouring exhibitors are not disturbed or inconvenienced.  PA systems and loudspeakers on stands are prohibited.  The free passage of the public must not be impeded. 


  1. Photography. It shall be a condition of entry to the Showground and car parks that no person shall ply for trade as a photographer or solicit trade with visitors to the Event in any other capacity deemed by the Event Organisers to cause annoyance.  The Event Organisers reserves the right to expel form the Showground and car parks, without refund of the admission charge, anyone who infringes this regulation.  By exhibiting at the Event exhibitors are agreeing to have photographs taken, if desired, and used for promotional use by the Event Organisers.  The official Event photographer is available, should you require their services.


  1. Charity Collections & Raffles. Collections for charities and raffles may only be undertaken with the prior consent of the Society and must be conducted within the allocated trade space. Stands selling raffle tickets must be registered under the Lotteries and Amusements Act 1976.  Written consent must be displayed on the trade stand.
  1. Advertisements. No exhibitor or other person will be allowed to affix any placard or advertisement to any part of the Showground.  No exhibitor or other person will be allowed to distribute handbills or display advertisements on their stand.
  1. Litter. Exhibitors and traders are required to keep their stands and the portions of the avenues, alleys and roadways adjoining their stands clean at all times during the Event.  Any litter and refuse generated should be put in suitable receptacles and disposed of in the red bins. At the end of the Event all rubbish and waste must be disposed of and the site left in a clean and tidy condition. The Event Organisers reserves the right to charge for clearance of excessive or dangerous litter left behind on the trade stand or adjoining area at the end of the Event.
 
  1. Dismantling & Removal of Stands. The dismantling and removal of stands is not to start until 19:00 on Sunday 20th July.
 13. Prohibited Activities:
  • The selling or donating of hand-held inflated or deflated balloons and of kites is forbidden due to the number of electricity lines on the Show Ground.
  • Exhibitors are not allowed to advertise by means of loudspeakers or trailing banners.
  • In the interests of visitor welfare, the sale and use of cap guns, BB guns, laser pens and explosive devices is forbidden.
  • External trading and the distribution of handbills / leaflets are prohibited in any area.
  • Protests, demonstrations, deputations, delegations and canvassing of members of the public other than within the confines of the exhibitor’s trade stand space is not allowed.
  • The riding of cycles, motorcycles, motor trikes, farm bikes, quad bikes and the like on the Showground, in the car parks or caravan areas is not allowed.
  • Exhibitors are not permitted to play music.
  • No alcohol other than alcohol purchased on site is permitted in the arena.
  • Exhibitors are not permitted to sell any alcohol, food or drink unless permission has been given prior to the event by the organiser.
  • We operate zero tolerance policy for drugs. Anyone using or supplying drugs on site will be removed without delay.
  • Exhibitors staying on site shall adhere to the rules and regulations of all campers on site.
  • Vehicle movement is strictly prohibited during the event. Exhibitors will be positioned within the main arena, and under no circumstances should vehicles be moved while the event is in progress. In case of an emergency, please alert a member of staff — you will be safely escorted from the showground. If you need to relocate your vehicle, please ensure it is moved to the public car park before 9:45am.
SAFETY & SECURITY


  1. Safety. Prior to the opening of the Event, all stands will be inspected by the Our Health & Safety Officer. Any exhibitor not meeting the requirements set out below may be required to leave the Showground before the opening of the Show to the public.


Health & Safety at Work Act 1974. It is the responsibility of the Exhibitors to ensure that their stands, including access steps, ramps etc. and all parts of their display comply with the Health and Safety at Work Act 1974 and any rules or regulations made under it or otherwise relating to the safety of employees and all other people.  The Event Organizers holds exhibitors wholly responsible for the observance of statutory regulations governing the safety of machinery exhibited by them.  Machines and appliances are accepted for the adjudication on the understanding that they are capable of complying with Health and Safety at Work etc. Act 1974, and the regulations which come under it.
Event Stand Safety.
Suspicious packages:  if any item of a suspicious nature is seen it is to be reported to one of our Security immediately. Such items are not to be handled or touched. If appropriate the trade stand is to be evacuated.
Plant or machinery must only be operated after ensuring that adequate precautions are taken to protect the operator and bystanders.  Guards must be fitted; mobile machinery fenced off; static exhibits properly erected, propped and stacked; hydraulic systems locked off or otherwise made safe.
Any steam or pressure vessels or lifting appliances either used or demonstrated must have been examined and tested by a competent person and labelled to indicate the examiner’s name and date of examination.
All temporary structures, information boards, fences, gates, flagpoles etc are to be safe for their intended purpose and comply with the latest and relevant codes of practice.  Exhibitors must give regard to the stability of their exhibits and ensure that they cannot under reasonable circumstances be knocked over.
Marquees: exposed tent pegs are to be safely covered.


Electricity Cables. The Show Ground has overhead and underground electricity supply cables. Flagpoles and other tall structures must be erected or placed at least 7 metres away from any electricity wires.

  1. Vehicle movement. The following rules are to be observed throughout the period of the Show (Friday 18th July- 1300 to Sunday 20th July – 1900):
  • The speed limit for all vehicles on site is 5 mph.
  • No vehicle movement during times already stated.
  • When parking a vehicle, the driver must be assisted by someone on foot who can warn the driver of any obstacles: this is particularly important when reversing.
  • Whenever a vehicle is moving all loads must be secured.
  • Once unloading has been completed empty vehicles are to be moved to ensure that they are within your allocated pitch.
  • Traders who need to leave the showground during event hours must move their vehicle to the public car park by 9:45am. Traders may return to their pitch as long as they are back on site by 9:45am; no vehicle access will be permitted after this time until after 11:00pm.Gate 1 will be manned, allowing traders to exit and re-enter for restocking purposes between 6:00am and 9:45am only.


3. Fire Precautions.
  • All trade stands must put in place fire precautions applicable to the risk. Fire extinguishers should be positioned on exit routes or near hazards which they are designed to protect. The fire extinguishers supplied must be suitable for the risk involved e.g. water, carbon dioxide, dry powder or other types of extinguishers.  A fire blanket must also be supplied.
  • Exhibitors using marquees or tents must ensure that they have been manufactured or treated so as to reduce the flame spread hazard. 
  • All gazebos and live in vehicles must have a minimum of 3 metres between the pitches either side due to fire safety regulations. 
  • All LPG cylinders must be kept in the open air and outside of any tents and marquees. Joints in pipe work between cylinders and appliances must be checked for leaks before use.  Pipe work and cylinders must be protected against damage. Cylinders in use must be secured against any possible movement which may result in the disconnection of or leakage from connecting hoses. All gas appliances must comply with current HSE Regulations and must have been examined and tested by a competent person and labelled to indicate the examiner’s name and date of the examination.
  • The current law regarding ‘no smoking’ applies to all buildings, tents, marquees, and other structures.
  • Generators are not permitted unless permission is granted by the organisers in advance.
  1. Security. Security will be in operation from Thursday 17th July – Monday 21st July


INSURANCE & RISK ASSESSMENTS


  1. Exhibitors must be insured in respect of public liability for sum of at least £5 million.  A copy of the valid Certificate of Insurance MUST be sent with the Application as proof of evidence and must cover the dates of the Event. If your insurance lapses prior to the event, the organisers will contact your to send the updated certificate. Exhibitors must insure against fire and other appropriate risks for their property, as well as third party claims.


  1. Any firm or organisation employing people must have Employer’s Liability Insurance to satisfy Health and Safety requirements.
  1. Risk Assessments are required. A completed Risk Assessment Form MUST accompany the Application Form. Confirmation of booking for a Trade Stand cannot be given until a copy of the Certificate of Insurance and/or Risk Assessment Form is provided.



Trade tickets and vehicle passes will be issued once full payment has been received via our ticketing partner, Skiddle. Please ensure you have your tickets ready for scanning upon arrival.

ACTION ON DISCOVERING A MEDICAL EMERGENCY.

•Sound the alarm by contacting security, calling the emergency number or JOS Events staff.
• Remain calm.
• If a person is injured do not move them.
• Nominate a person to alert the medical team to your whereabouts.
• Keep the casualty warm and calm until the arrival of the medical team.
• Give the casualty space and create space for the medical team.

ACTION ON DISCOVERY OF A LOST CHILD / VULNERABLE PERSON.

• Sound the alarm by contacting security, calling the emergency number or JOS Events staff.
• Be calm and keep the child safe and calm.
• Tell no one around you. The Showground will immediately be locked down once we are alerted.
• Do not allow the vulnerable person to leave with anyone until security are present. This is for all children ’s safety. Once alerted, protocol is for security to make sure the child / vulnerable person has found their family.
• Do not allow the child / vulnerable person to leave with anyone unless it is our SIA security team. The SIA team will have high viz and a badge (example below).
• Do not try and find the child’s / person’s guardians.

ACTION ON DISCOVERY OF FIRE

• Sound the alarm by contacting security, calling the emergency number or JOS Events staff.
• Call 999.
• Leave any buildings by the nearest exit.
• Do not re-enter the building.
• Report to the assembly point.
• Do not attempt to tackle any fires. JOS Events directors are former fire service and are fully trained to assess the situation. They will determine if it is safe to tackle a fire using the extinguishers or not.
• Do not put yourself at risk. Fire will spread rapidly and unexpectedly. Please just get yourself and any visitors in your area safe and stay safe.

ACTION ON HEARING ALARM

• Leave any buildings by the nearest exit.
• Do not re-enter the building.
• Report to the assembly point
• Do not attempt to tackle any fires.

Please make yourself visible and available so staff can locate you quickly. If you have the What3Words app, please provide your three-word location, as this will help us pinpoint your exact position immediately.


We have a trained team of medics on site and available and on call 24 hours throughout the event.

ACTION ON DISCOVERING A MEDICAL EMERGENCY.

•Sound the alarm by contacting security, calling the emergency number or JOS Events staff.
• Remain calm.
• If a person is injured do not move them.
• Nominate a person to alert the medical team to your whereabouts.
• Keep the casualty warm and calm until the arrival of the medical team.
• Give the casualty space and create space for the medical team.

We will have fully trained SIA on site 24 / 7 at Avonstock Tribute Festival.
Wristbands will contain the guardians number or any children or vulnerable adult.

ACTION ON DISCOVERY OF A LOST CHILD / VULNERABLE PERSON.

• Sound the alarm by contacting security, calling the emergency number or JOS Events staff.
• Be calm and keep the child safe and calm.
• Tell no one around you. The Racecourse will immediately be locked down once we are alerted.
• Do not allow the vulnerable person to leave with anyone until security are present. This is for all children ’s safety. Once alerted, protocol is for security to make sure the child / vulnerable person has found their family.
• Do not allow the child / vulnerable person to leave with anyone unless it is our SIA security team. The SIA team will have high viz and a badge (example below).
• Do not try and find the child’s / person’s guardians.

ACTION ON DISCOVERY OF FIRE

• Sound the alarm by contacting security, calling the emergency number or JOS Events staff.
• Call 999.
• Leave any buildings by the nearest exit.
• Do not re-enter the building.
• Report to the assembly point.
• Do not attempt to tackle any fires. JOS Events directors are former fire service and are fully trained to assess the situation. They will determine if it is safe to tackle a fire using the extinguishers or not.
• Do not put yourself at risk. Fire will spread rapidly and unexpectedly. Please just get yourself and any visitors in your area safe and stay safe.

ACTION ON HEARING ALARM

• Leave any buildings by the nearest exit.
• Do not re-enter the building.
• Report to the assembly point
• Do not attempt to tackle any fires.
• Do not put yourself at risk. Fire will spread rapidly and unexpectedly. Please just get yourself and your family safe and stay safe.

Martyn’s Law is a new law passed designed to place a requirement on those responsible for certain locations to consider the threat from terrorism and implement appropriate and proportionate mitigation measures. JOS Events has a counter-terrorism policy in place.
