  • Friday 17th July – 8:00 - 13:00 – Please do not arrive after 13:00 as this is when the public will be arriving.
  • Saturday 18th July – 7:30 – 9:30 (latest, please allow time for traffic)
  • Sunday 19th July- 7:30 – 9:30 (latest, please allow time for traffic) Pack up can start at no earlier than 19:00

We strongly recommend avoiding the town centre due to on going roadworks.
Please arrive via GATE 1, where you will be met by security. Have your tickets ready for scanning and ensure your pitch pass / vehicle pass is clearly displayed on your windscreen.
You will then be met and escorted to your designated area by a member of our team.

Please note that no vehicle movement is permitted once the event has started. If you know you will need to leave between 10:00 and 23:00, please park your vehicle in the public car park opposite before 9:45.

Trade Rules & Regulations:

These rules apply to all traders, exhibitors, contractors, and their employees attending Woodshrop Festival. By exhibiting, you agree to adhere to these rules. The Event Organisers, Stewards, and appointed Officials reserve the right to enforce these rules at their discretion.
1. Authority of Stewards & Officials
  • All exhibitors must comply with the directions of the Event Organisers, Stewards, and Officials.
  • Stewards may remove any article, restrict activities, or close a trade stand if it does not conform to these rules.
  • The organiser may expel any exhibitor or representative for non-compliance. No refunds will be issued in such cases.
2. Trade Stand Opening Times
  • All trade stands must be open and manned between 10:00 – 19:00 each day.
  • Night trading is optional but welcomed.
3. Exhibitor Responsibilities
  • Exhibitors are fully responsible for their stands, stock, exhibits, machinery, and the conduct of their team.
  • Exhibitors must indemnify the Event Organisers against all claims, damages, or expenses arising from their presence or exhibits.
  • Exhibitors must hold public liability insurance of at least £5 million covering all event dates. This must be in date and uploaded prior to the event.
  • Exhibitors must insure against fire, theft, and third-party claims for their property.
4. Stall Descriptions & Unauthorised Trading
  • Exhibitors must ensure their stall matches the description provided on the booking form.
  • The organiser may refuse entry or remove exhibitors whose stall is misleading, inaccurate, or unauthorised.
  • Face painting and glitter artists must operate as standalone stalls.
5. Equipment & Machinery Safety
  • Any machinery or equipment with moving parts must have appropriate guards, fencing, or supports to protect the public.
  • Steam, pressure vessels, or lifting appliances must be inspected, tested, and labelled by a competent person.
  • Exhibitors must submit a Risk Assessment and Safe Working Procedure with their booking.
  • All temporary structures (marquees, fences, gates, signage) must be safe and comply with relevant codes of practice.
6. Dogs
  • Dogs on a lead are permitted. Owners must clean up after their pets.
  • A designated dog-free area is available on-site for free running opposite the showground.
7. Demonstrations
  • Activities or demonstrations must remain within the allocated stand space.
  • PA systems or loudspeakers on stands are prohibited.
  • Demonstrations must not impede public movement or disturb neighbouring exhibitors.
8. Photography
  • By exhibiting, you consent to photographs being taken for promotional purposes.
  • Commercial photography requires prior approval from the organiser.
9. Charity Collections & Raffles
  • Must have prior written approval from the organiser.
  • Raffles must comply with the Lotteries and Amusements Act 1976.
10. Advertisements & Leaflets
  • No placards or advertisements may be affixed to any part of the festival site.
  • Distribution of handbills or leaflets is prohibited outside your stand.
11. Litter & Stand Cleanliness
  • Exhibitors must keep their stands and surrounding areas clean at all times.
  • Dispose of rubbish in the designated bins provided.
  • The organiser reserves the right to charge for excessive or hazardous waste left on-site.
12. Dismantling & Vehicle Movement
  • Trade stands must not be dismantled before 19:00 on the final day.
  • Vehicle movement is strictly prohibited during the festival.
  • Vehicles may be parked next to stands before 9:45am only for restocking.
  • In case of emergency, follow instructions from event security; vehicles may only be moved under their direction.
13. Prohibited Activities
  • Selling, donating, or flying balloons or kites is prohibited.
  • Loudspeakers, trailing banners, or playing music on stands is forbidden.
  • Sale or use of cap guns, BB guns, laser pens, or explosives is prohibited.
  • Distribution of leaflets or canvassing outside your stall is prohibited.
  • Riding cycles, motorcycles, quad bikes, or farm bikes on-site is forbidden.
  • No alcohol other than purchased on-site is permitted.
  • No sale of food or drink without prior permission.
  • Zero tolerance for drugs; offenders will be removed immediately.
14. Fire Safety
  • Trade stands must have appropriate fire precautions in place.
  • Traders must read the fire safety protocols prior to the event starting.
  • Marquees, tents, and gazebos must be fire retardant.
  • Maintain minimum 2m spacing between tents/marquees for fire safety.
  • LPG cylinders must be kept outside tents/marquees, secured, and leak-checked.
  • Smoking is prohibited in tents, marquees, or temporary structures.
  • Generators are only permitted with prior organiser approval.
15. Electrical & Overhead Hazards
  • All tall structures, flagpoles, or tents must be at least 7 metres away from overhead electricity cables.
16. Security
  • Security operates Thursday – Monday.
  • Report suspicious packages immediately; do not touch.
  • Follow instructions during evacuations due to fire, extreme weather, or other emergencies.
  • Stalls, stock, and equipment must remain in place during evacuations.
17. Insurance & Risk Assessments
  • Public liability insurance of at least £5 million is required.
  • Employer’s Liability insurance is required if employing staff.
  • A completed Risk Assessment form must accompany your application.
  • Bookings cannot be confirmed without proof of insurance and risk assessment.
18. Event Evacuation
  • Follow all instructions from event security and stewards.
  • Remain calm, proceed to designated assembly points, and do not move vehicles unless directed.
  • Re-entry is only allowed once the organiser or emergency services declare the site safe.
  • The organiser is not responsible for loss, damage, or disruption during an evacuation.
Trade tickets and vehicle passes will be issued immediately via email once the remaining balance has been received through the link provided with your initial deposit ticket.

Please ensure you have your unique ticket / QR code ready for scanning on arrival (issued with the deposit payment) and that your vehicle / pitch pass is clearly displayed on your windscreen (issued with the balance payment). You will need BOTH to gain access.

Unfortunately, we’re unable to offer refunds on trade pitches. Traders are carefully selected based on what they sell and the space available. Once a pitch is secured, we stop taking applications in that category – often turning down hundreds of traders.

This approach ensures we don’t oversubscribe, creating a safe and comfortable environment for everyone trading. For this reason, trade pitch fees are non-refundable.

We have a trained team of medics on site and available and on call 24 hours throughout the event.

ACTION ON DISCOVERING A MEDICAL EMERGENCY.

• If a person is injured do not move them.
• Nominate a person to alert the medical team to your whereabouts.

• Tell no one around you. The Showground will immediately be locked down once we are alerted.
• Do not allow the vulnerable person to leave with anyone until security are present. This is for all children ’s safety. Once alerted, protocol is for security to make sure the child / vulnerable person has found their family.
• Do not allow the child / vulnerable person to leave with anyone unless it is our SIA security team. The SIA team will have high viz and a badge (example below).
• Do not try and find the child’s / person’s guardians.
