Terms & Conditions of Entry
Tickets and trade bookings are issued on behalf of Roadrunner Events Ltd and are subject to the following terms and conditions. By purchasing or using a ticket or booking a trade stand, you agree to abide by these terms.
1. Tickets & Payments
- Tickets are issued subject to the Rules & Regulations of the festival, the site owner, and Roadrunner Events Ltd.
- All ticket holders must have a valid ticket for entry.
- Tickets must be checked for accuracy before arrival; errors may not be rectified on-site.
- Tickets are non-refundable except in the event of festival cancellation.
- No duplicate tickets or wristbands will be issued for lost or damaged tickets.
- Tickets cannot be resold, raffled, or transferred without written consent from Roadrunner Events Ltd. Any misuse renders the ticket invalid.
- Day and weekend tickets are available. Camping tickets include entry from Thursday to Monday (specific times per festival) and must be purchased in advance.
- Early arrival tickets must be purchased separately to access the festival site on the Thursday prior to the event.
- Trade bookings: A 50% deposit is required to secure your pitch. The remaining balance must be paid no later than one month before the event. Your booking is not fully confirmed until the full balance and all required documentation (public liability insurance, risk assessments, and stall photos) are submitted.
2. Entry & Conduct
- Admission is at your own risk. Roadrunner Events Ltd is not liable for injury, loss, or damage to persons, property, or vehicles on-site.
- Roadrunner Events Ltd reserves the right to refuse entry or eject anyone causing damage, behaving unsafely, or in breach of these terms.
- Security may search persons and property at any time. Refusal may result in denied entry.
- Children under 18 must be accompanied by a responsible adult over 18.
- Unauthorised trading, canvassing, or distribution of leaflets outside allocated areas is prohibited.
- Traders and visitors must adhere to the arrival times specified in the arrival information.
Arriving earlier or later than your allocated time may result in being held in a designated holding area. Please note, this area does not have toilet facilities or other amenities.
3. Camping & Vehicles
- Camping is only allowed in designated areas with a valid ticket.
- Camping is only permitted for weekend ticket holders.
- We can not accommodate single night camping.
- The public car park will be locked at midnight and re-opened at 7am.
- Generators are not permitted.
- Campervans, caravans, motorhomes, and tents must adhere to minimum spacing rules for safety and fire regulations.
- 6-Meter Firebreak Rule
- A minimum of 6 meters must be maintained between the sides of adjacent caravans, with at least 3 meters of clear space around any awnings or additional structures.
- This spacing is mandatory and acts as a firebreak to help prevent the spread of fire between pitches.
- Pitch rules:
- One vehicle per allocated pitch
- One tent may be pitched behind or beside the vehicle. Not including motorhomes, campers of caravans unless it is a toilet tent.
- Maximum of 4 adults per pitch al sharing the same tent, caravan, motorhome etc.
- Vehicles must remain stationary between 11:00 – 23:00. Any movement during event hours must be approved by security.
- No vehicles or tents are permitted in fire lanes or safety zones.
- All wastewater must be disposed of in designated elson points. Open fires are prohibited; overground BBQs are permitted at least 3m from vehicles.
- All items, vehicles, and tents must vacate the pitch by the festival end time. Remaining property may be removed.
4. Safety & Security
Visitors – Safety & Security
- Compliance & Personal Responsibility
- All visitors must comply with festival safety instructions and Health & Safety legislation.
- Attendance is at your own risk. Roadrunner Events Ltd accepts no liability for personal injury, loss, or damage to property.
- Temporary Structures & Equipment
- Visitors must not interfere with temporary structures, electrical installations, or equipment.
- Climbing on or tampering with stages, barriers, marquees, or machinery is strictly prohibited.
- Hazards & Suspicious Items
- Any hazards or suspicious items must be reported immediately to festival security. Do not touch or move suspicious items.
- Evacuation Procedures
- In the event of an emergency (fire, extreme weather, suspicious package, or other hazards):
- Follow all instructions from security staff and event organisers immediately.
- Proceed calmly to the designated assembly points.
- Vehicles and personal belongings must remain in place unless otherwise instructed.
- Re-entry is only permitted once the site has been declared safe.
- Prohibited Items & Behaviour
- Illegal substances, offensive weapons, or unsafe items are strictly prohibited.
- Unsafe behaviour, including climbing, running in restricted areas, or disregarding staff instructions, may result in ejection from the festival without refund.
- Responsibility
- Roadrunner Events Ltd and its staff are not responsible for loss, damage, or disruption to personal property, vehicles, or stock brought by visitors.
Traders / Artists / Safe – Safety & Security
- Health & Safety Compliance
- All traders must comply with current UK Health & Safety legislation.
- Traders are responsible for their own risk assessments and must provide proof of Public Liability Insurance of at least £5 million covering the festival dates.
- Temporary Structures, Equipment & Machinery
- All temporary structures, gazebos, tents, electrical equipment, LPG cylinders, and machinery must be safe, compliant with UK regulations, and correctly installed.
- Machinery and exhibits with moving parts must have appropriate guards, and any hydraulic, steam, or pressure systems must be inspected and certified by a competent person.
- Specialty Stalls
- Face painting and glitter artist stalls must operate as standalone units only. They cannot form part of a mixed stall.
- Hazards & Suspicious Items
- Any hazardous conditions or suspicious packages must be reported immediately to festival security. Do not touch or attempt to move any suspicious items.
- Evacuation Procedures
- In the event of an emergency (fire, extreme weather, suspicious package, or other hazards):
- Traders must leave stalls, stock, and equipment in situ.
- Follow all instructions from security staff or event organisers immediately.
- Proceed calmly to the designated assembly points.
- Vehicles may only be moved if explicitly instructed by security or emergency services.
- Re-entry to the festival site is only permitted once the area has been declared safe.
- Responsibility
- Roadrunner Events Ltd and its staff are not responsible for loss, damage, or disruption to stock, equipment, vehicles, or personal property during the event or in an evacuation scenario
6. Event Operations
- All trade stands must be open between 10:00 – 19:00. Night trading is optional but welcomed.
- Roadrunner Events Ltd may change the programme or schedule without notice.
- Adverse weather: The festival is outdoor. Roadrunner Events Ltd reserves the right to modify, delay, or cancel elements of the event to ensure safety. Tickets are non-refundable due to weather.
7. Photography & Media
- By attending, visitors and exhibitors consent to photography and filming for promotional purposes.
- Professional photography or recording requires written permission.
8. Litter & Cleanliness
- All visitors and traders must keep areas clean at all times.
- All waste should be placed in the designated refuse points, clearly signposted around the site. Large bin bags and bins will be provided for general waste.
- Traders are responsible for ensuring that the area immediately around their stalls is kept clean during and after the event.
- At the end of the festival, all tents, vehicles, and personal items must be removed, and pitches left in a clean condition.
- No dumping of any waste outside the allocated refuse areas, including in fields, ditches, or nearby waterways, is permitted and is subject to legal penalties.
- Excessive or hazardous waste left behind may incur additional charges.
- Please be aware that all recycling is conducted off site.
9. Legal & Compliance
- UK laws, including the Health & Safety at Work Act 1974, Fire Safety Regulations, and Gambling & Licensing laws, apply to all festival activities.
- Failure to comply may result in removal, fines, or legal action.
- Tickets, camping, and trade bookings constitute acceptance of these terms.
