These Terms & Conditions apply to all events organised by Roadrunner Events Ltd ("the Organiser"), including but not limited to festivals, fairs, markets, exhibitions and associated camping events.
By purchasing a ticket, booking a trade pitch, entering the event site or remaining on site, you agree to comply with these Terms & Conditions.
The Organiser reserves the right to amend these Terms & Conditions where reasonably necessary for operational, legal, safety or licensing reasons.
1.1 All persons entering an event site must hold a valid ticket, wristband, accreditation or booking confirmation.
1.2 Tickets, camping passes, vehicle passes and trade bookings remain the property of Roadrunner Events Ltd.
1.3 Tickets must be checked upon receipt. Errors must be reported before arrival.
1.4 Lost, stolen, damaged or forgotten tickets and wristbands will not normally be replaced.
1.5 Tickets may not be resold, auctioned, raffled, used for promotional purposes or transferred without the written consent of Roadrunner Events Ltd.
1.6 Any ticket purchased through an unauthorised source may be cancelled without refund.
1.7 Full Festival tickets include camping where stated at the time of purchase.
1.8 Early arrival tickets, Electric Hook-Ups, vehicle passes and optional extras must be purchased separately where applicable.
1.9 Electric Hook-Ups are sold on a limited availability basis and are non-refundable.
1.10 Trade bookings require a 50% non-refundable deposit to secure a pitch unless otherwise agreed in writing.
1.11 The remaining balance for trade bookings must be paid no later than one calendar month before the event.
1.12 Trade bookings are not fully confirmed until all required documentation has been received and approved.
2.1 Tickets, camping passes, pitch bookings and optional extras are non-refundable except where specifically stated within these Terms & Conditions.
2.2 Refund Protection may be available at the time of booking through a third-party provider. Any claims must be submitted directly to that provider.
2.3 As Refund Protection is available at the point of purchase, Roadrunner Events Ltd cannot make exceptions to its refund policy under any circumstances, including but not limited to:
• Illness or injury
• Bereavement
• Work commitments
• Travel disruption
• Vehicle breakdown
• Accommodation issues
• Weather concerns
• Personal circumstances
• Failure to attend
2.4 Booking fees, administration fees, transaction charges and optional extras are non-refundable unless required by law.
3.1 If an event is cancelled in full and not rescheduled, ticket holders will be entitled to a refund of the face value of their ticket.
3.2 Booking fees, administration fees and transaction charges may remain non-refundable.
3.3 If an event is rescheduled, tickets will remain valid for the new date.
3.4 If Roadrunner Events Ltd offers refunds for a rescheduled event, any deadline communicated by the Organiser shall apply.
3.5 The Organiser reserves the right to amend event schedules, programmes, facilities, attractions, stages, entertainment, traders, artists, layouts and operational arrangements without liability.
3.6 Artist cancellations, substitutions, delayed performances or line-up changes shall not constitute grounds for refunds.
Roadrunner Events Ltd shall not be liable for cancellation, postponement, interruption or alteration of an event arising from circumstances beyond its reasonable control including but not limited to:
• Severe weather
• Flooding
• Fire
• Disease outbreaks
• Pandemic or epidemic events
• Government restrictions
• National emergencies
• Utility failures
• Industrial action
• Terrorism threats
• Civil unrest
• Acts of God
5.1 Admission is subject to these Terms & Conditions and any instructions issued by Event Control, Security, Stewards, Medical Teams or Emergency Services.
5.2 Security staff may search persons, bags, vehicles and property at any time. No outside alcohol may be taken into entertainment arenas, bars, stages, performance areas or licensed areas. Any alcohol found may be confiscated.
5.3 Refusal to comply with a search request may result in refusal of entry or removal from site.
5.4 Roadrunner Events Ltd reserves the right to refuse admission or remove any person without refund where necessary for safety, security or operational reasons.
6.1 Attendees must behave responsibly and with consideration for others.
6.2 Roadrunner Events Ltd operates a zero-tolerance policy towards:
• Violence
• Aggression
• Threatening behaviour
• Harassment
• Discrimination
• Abuse of staff, volunteers, contractors or attendees
6.3 Anyone displaying anti-social, dangerous or disruptive behaviour may be removed without refund.
6.4 Instructions given by Event Control, Security, Stewards, Medical Teams and Emergency Services must be followed at all times.
6.5 Decisions relating to safety, emergency procedures or evacuation are final.
7.1 Persons under 18 years of age must be accompanied by a responsible adult aged 18 or over.
7.2 Children remain the responsibility of their parent or guardian at all times.
7.3 Roadrunner Events Ltd accepts no responsibility for supervising children.
7.4 Lost children and vulnerable persons will be managed in accordance with the event safeguarding procedures.
8.1 All outdoor events operate on a "Rain or Shine" basis.
8.2 Attendees acknowledge that weather conditions may require performances, attractions or activities to be delayed, paused, relocated or cancelled.
8.3 Weather-related interruptions shall not entitle attendees to a refund.
8.4 Safety remains the priority at all times and operational decisions relating to weather are final.
The following items are prohibited unless expressly authorised:
• Illegal substances
• Offensive weapons
• Fireworks
• Flares
• Smoke canisters
• Chinese lanterns
• Laser pens
• Glass bottles or containers
• Generators
• Drones
• Nitrous Oxide
• Dangerous chemicals
• Excessive quantities of alcohol
• Any item deemed dangerous by Security
Prohibited items may be confiscated and not returned.
10.1 Illegal substances are strictly prohibited.
10.2 Anyone found in possession of illegal substances may be removed from site and reported to the Police.
10.3 Alcohol may only be consumed within permitted areas.
10.4 Day ticket holders may not bring alcohol into event arenas or campsites.
10.5 Challenge 25 operates throughout the event.
Accepted identification includes:
• Passport
• Driving Licence
• PASS-approved identification card
11.1 Camping is only permitted within designated camping areas.
11.2 Camping is only available to valid weekend ticket holders unless otherwise advertised.
11.3 Single-night camping is not available unless specifically stated.
11.4 Public car parks may be locked outside published operating hours.
11.5 Generators are prohibited.
11.6 Open fires and fire pits are prohibited.
11.7 Above-ground BBQs are permitted provided they remain at least 3 metres from vehicles and structures.
11.8 Camping equipment, tents and personal belongings must be removed at the end of the event.
11.9 Abandoned property may be removed and disposed of without notice.
12.1 Standard pitch size is approximately 6m x 8m unless otherwise stated.
12.2 A minimum 6-metre firebreak must be maintained between adjacent units, including a minimum 3 metres of clear space surrounding awnings and ancillary structures.
12.3 One accommodation unit is permitted per pitch.
12.4 Roadrunner Events Ltd reserves the right to restrict the number, size and location of tents, gazebos, awnings and ancillary structures.
12.5 Vehicle movement is prohibited during published event operating hours unless authorised by Event Control.
12.6 No tents, vehicles or equipment may obstruct fire lanes or emergency access routes.
12.7 Wastewater must be disposed of using designated disposal facilities only.
12.8 No trading is permitted from camping pitches.
12.9 Sound systems and amplified music are prohibited within camping areas.
13.1 Traders must hold Public Liability Insurance with a minimum indemnity of £5 million.
13.2 Risk assessments, insurance documentation and any requested certification must be submitted before arrival.
13.3 Food traders must comply with all relevant food hygiene legislation.
13.4 Roadrunner Events Ltd reserves the right to refuse entry to traders who fail to provide required documentation.
13.5 Traders must trade only from their allocated pitch.
13.6 Unauthorised trading anywhere on site is prohibited.
13.7 Roadrunner Events Ltd makes no guarantee regarding visitor numbers, sales revenue, trading conditions or commercial success.
13.8 No compensation or refund shall be payable due to poor trading conditions, weather, reduced attendance or programme changes.
13.9 Trade stands must remain open during advertised trading hours unless otherwise agreed.
14.1 Temporary structures, stages, barriers, marquees and event infrastructure must not be climbed upon, tampered with or interfered with.
14.2 Hazards, suspicious packages or safety concerns must be reported immediately.
14.3 During any evacuation, attendees must leave stock, property and equipment in place unless instructed otherwise.
14.4 Re-entry following an evacuation shall only be permitted once the area has been declared safe.
15.1 CCTV may operate throughout the event site.
15.2 By entering the event site, attendees consent to being photographed, filmed or recorded.
15.3 Images may be used for:
• Security purposes
• Crime prevention
• Marketing
• Promotion
• Press coverage
• Social media content
15.4 Professional photography, commercial filming, recording or drone use requires prior written approval.
16.1 Medical services are provided by independent contractors.
16.2 Event medical staff may administer emergency first aid where necessary.
16.3 Roadrunner Events Ltd accepts no liability for treatment decisions made by independent medical providers.
17.1 Attendees must use designated refuse and recycling facilities.
17.2 All pitches, camping areas and trading areas must be left in a clean condition.
17.3 Waste must not be deposited in fields, ditches, waterways or surrounding land.
17.4 Additional charges may be incurred for excessive waste, fly-tipping or environmental damage.
18.1 Attendance is entirely at the attendee's own risk.
18.2 Roadrunner Events Ltd accepts no liability for:
• Lost or stolen property
• Damage to vehicles
• Damage to camping equipment
• Loss of business revenue
• Consequential losses
18.3 Attendees are responsible for ensuring adequate insurance cover for their own property and activities.
19.1 All attendees, traders, contractors and exhibitors must comply with all applicable UK legislation.
19.2 Failure to comply with these Terms & Conditions may result in refusal of entry, removal from site, cancellation of bookings, confiscation of wristbands or legal action.
19.3 Entry to the event site constitutes acceptance of these Terms & Conditions in full.
