Branded reusable cups  that have been purchased are yours to keep, therefore they can be taken be taken of the arena. Any re-useable cups belong to the bar and are not permitted to leave the area.

We also offer exclusive Woodshrop souvenir reusable cups, available for purchase at the bar and merchandise tent for £3 each. These cups can be refilled throughout the festival, helping to reduce waste while enhancing your festival experience. Drinks served in souvenir cups can be taken in and out of the arena without restriction as these cups belong to you. These cups are designed as stacking cups, they allow you to carry multiple drinks with ease. These cups are fantastic keepsakes, and we hope you enjoy using them as much as we do!

Weekend tickets include entry to the festival from Friday 17th July - Sunday 19th July.

Day tickets are only valid for the date printed on the ticket.

Camping can be added separately for weekend ticket holders only. Caravans, campers, motor-homes, tents, all live-in vehicles are welcome and included in the standard camping pitch. Please add Festival tickets first to unlock camping options. Camping is available Fri, Sat and Sun night with an additional option for Thursday early arrival. This needs to be pre-booked. Camping can be added on if you have already booked weekend tickets by logging into your Kaboddle account.

It is possible to download your ticket from the customer account within 7 days of the event. Log into your Kaboodle account and find your ticket by selecting the event under “future bookings”

Emails can be redirected so please check your junk/spam folder. PDF tickets can be downloaded onto your smartphone and scanned directly. You can also print off your tickets to be scanned at the event.

Please be aware each QR code can only be scanned once.

Tickets will be sent out via email within 7 days of the event.
Well behaved dogs on a short lead are welcome but please be aware that we may close areas to dogs if they get to busy for the dogs own well-being.

All dog waste must be picked up and disposed of correctly. Please make sure no long leads are used as their little 'parcels' can get missed.


All bars and food vendors will have contactless payment available. Stalls may be cash only so please bring cash to cover this.

There is no cash point on-site.

There are paths all around the Showground and ramps into all buildings. There are disabled toilets and showers located at the end of the Berwick Building. These can be accessed using a RADAR key.

Refund Protection

Refund Protection is available to purchase during the booking process through our ticket provider. We strongly recommend that all visitors consider taking out Refund Protection when purchasing tickets.

Please note that Refund Protection is provided and administered by a third-party provider and not by Roadrunner Events Ltd. Any claims made under the Refund Protection policy are subject to that provider's terms and conditions.

Refund Protection exists to protect both visitors and Roadrunner Events as organisers by providing a clear and consistent process for unforeseen circumstances. For this reason, it is important that all attendees make an informed decision regarding Refund Protection at the time of booking.

As Refund Protection is available at checkout, Roadrunner Events Ltd is unable to make exceptions to its refund policy under any circumstances, including illness, injury, changes in personal circumstances, travel disruption, work commitments, or any other reason that prevents attendance.

Roadrunner Events Ticket Policy
Tickets cannot be exchanged, transferred by the organiser, or refunded after purchase. Visitors are welcome to privately sell or transfer their tickets before the event, subject to the event's terms and conditions.

Event Cancellation
If an event for which you have purchased tickets is cancelled in full and not rescheduled, your order will be cancelled and you will be refunded the sale price of your tickets.
If you have purchased tickets or packages for an event that takes place over multiple days and only part of the event is cancelled, a proportionate partial refund may be offered where applicable.

Event Rescheduling
If an event is rescheduled, your tickets will remain valid for the new date. Where applicable, tickets of an equivalent value may be offered, subject to availability.
If you are unable to attend the rescheduled event, you must notify us within the specified deadline in order to request a refund of the sale price of your tickets or packages. Service charges and order processing fees remain non-refundable. Where no deadline is specified, the default deadline will be 48 hours before the rescheduled event.

Extreme Weather
Our events are outdoor festivals and operate on a "rain or shine" basis, which is clearly stated within our booking terms and conditions.
We understand that adverse weather, including heavy rain, thunderstorms, or high winds, can cause concern. However, our team works closely with professional safety advisors, security providers, medical teams, and local authorities to continually monitor weather conditions and implement appropriate safety measures.
In most circumstances, events can continue safely during adverse weather, although performances or activities may occasionally be delayed, paused, amended, or relocated for safety reasons.
As the event infrastructure, artist fees, staffing, licensing, security, medical provision, and site services are committed and paid for in advance regardless of weather conditions, refunds cannot be provided for weather-related disruptions, delays, interruptions, or early closures where the event is able to proceed in any form.
Visitors concerned about unforeseen circumstances are strongly encouraged to purchase Refund Protection at the time of booking.

  1. Eligibility
    • Essential Companion Tickets are available to customers who require assistance to access the event safely and comfortably.
    • Accepted forms of evidence include: Disability Living Allowance (DLA), Personal Independence Payment (PIP), a CredAbility/Access Card (+1 symbol), a recent GP letter or care package, or a Blue Badge.
  2. Ticket Conditions
    • The Essential Companion Ticket is offered at a 50% discount when using the provided code.
    • Only one Essential Companion Ticket may be issued per eligible customer.
    • The Companion must be aged 16+ and capable of providing support throughout the event.
    • The Companion must remain with the customer for the duration of the event.
  3. Booking Process
    • The discount code must be entered when booking the Companion ticket.
    • Tickets must be booked in advance and cannot be added on the day of the event.
    • Both the main ticket and Companion ticket must be purchased in the same booking.
  4. Usage & Verification
    • On entry, both the customer and Companion must present their tickets together.
    • Proof of eligibility may be requested upon arrival.
    • Misuse (e.g. resale, using the ticket without the eligible customer) may result in refusal of entry.
  5. Data Protection
    • Any personal information and supporting documentation provided will be stored securely and used only for the purpose of verifying eligibility for an Essential Companion Ticket.
    • We comply fully with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
    • Documentation is not shared with third parties and will be deleted once verification is complete, unless otherwise required by law.
Yes please do! We absolutely love to be tagged in any posts on social media so click away! This shows us a side of the event that we wouldn't normally see.
We also have no objections to drones being used as long as you meet the requirements of the UK civil aviation authority & fly within the accordance of the law. All drone operators will be held responsible for any damage, injury or loss.
Security is on site and operational 24 hours a day throughout the event, from the first arrivals until the final departure.

When entering the arena area, security staff will routinely check wristbands and may carry out bag searches. Please ensure your wristband is worn and visible at all times to help us maintain a safe and secure environment for everyone and to avoid any unnecessary delays or issues.

In the event of an emergency, a dedicated telephone number is available which connects directly to Event Control and Security. This number should only be used for genuine emergencies requiring an immediate response.

By purchasing a ticket and entering the event site, you agree to the following conditions:
Tickets & Admission
  • Tickets are issued on behalf of Roadrunner Events Ltd and are subject to the rules and regulations of the venue, site owners and event management.
  • Every person entering the event site must hold a valid ticket or wristband.
  • Please check your tickets carefully before arrival as errors may not be able to be corrected on the day.
  • Full Festival ticket holders will receive a wristband which allows re-entry to the site throughout the event.
  • Lost, stolen or damaged tickets and wristbands cannot be replaced.
  • Tickets must not be resold, used for promotions, competitions or commercial purposes without written permission from Roadrunner Events Ltd.
  • Roadrunner Events Ltd reserves the right to refuse admission or remove any person whose behaviour is unsafe, disruptive, anti-social, threatening or in breach of these conditions.
Refunds & Refund Protection
  • Tickets are non-refundable except in the event of a full event cancellation.
  • Refund Protection may be available during the booking process through our ticket provider. Any claims must be made directly with the Refund Protection provider.
  • As Refund Protection is available at the point of purchase, Roadrunner Events Ltd cannot make exceptions to its refund policy for illness, injury, work commitments, travel issues, weather concerns or any other personal circumstances.
Security & Searches
  • Security staff are on site 24 hours a day throughout the event.
  • All attendees, vehicles, bags and personal belongings may be searched upon entry or whilst on site.
  • Refusal to comply with a search may result in refusal of entry or removal from the event.
Event Programme
  • Roadrunner Events Ltd reserves the right to amend, substitute, reschedule or cancel advertised artists, attractions, activities or event programmes without prior notice.
  • Artist or programme changes do not qualify for refunds.
Weather Policy
  • Our events are outdoor events and operate on a "Rain or Shine" basis.
  • Events will proceed in most weather conditions, including rain.
  • In the interests of public safety, performances or activities may be delayed, paused, relocated or cancelled due to adverse weather conditions such as thunderstorms, lightning or high winds.
  • Weather-related interruptions do not qualify for refunds.
  • In the unlikely event of a full event cancellation due to extreme weather, updates will be provided through official event communication channels.
Children & Young Persons
  • All persons under the age of 18 must be accompanied by a responsible adult aged 18 or over.
  • Children remain the responsibility of their parent or guardian at all times and must be appropriately supervised.
Alcohol, Drugs & Prohibited Items
  • Illegal substances are strictly prohibited and may result in removal from site and involvement of the Police.
  • Challenge 25 operates throughout the event. Anyone fortunate enough to look under 25 may be asked for identification.
  • Accepted forms of ID are:
    • Passport
    • Driving Licence
    • PASS-approved identification card
  • Day ticket holders may not bring alcohol onto the event site.
  • Full Festival ticket holders may bring alcohol for personal consumption within designated camping areas only.
  • No outside alcohol may be taken into licensed bars, entertainment arenas or stage areas.
The following items are prohibited:
  • Illegal substances
  • Offensive weapons
  • Fireworks
  • Flares
  • Smoke canisters
  • Chinese lanterns
  • Laser pens
  • Generators
  • Glass bottles or containers
  • Dangerous chemicals
  • Unsecured gas cylinders
  • Any item deemed unsafe by Security
Prohibited items may be confiscated and entry may be refused.
Camping
  • Camping is only permitted within designated camping areas and is available only to valid Full Festival ticket holders.
  • Full Festival tickets include up to three nights of camping. This is complimentary and non-refundable.
  • Early Thursday arrival requires a separately purchased Early Arrival ticket.
  • Additional nights outside the event period must be arranged directly with the venue where available.
  • Electric Hook-Ups (EHUs) are available in limited quantities and must be purchased separately.
  • Unused nights or unused EHUs are non-refundable.
Campervans, Caravans & Motorhomes
  • A separate vehicle ticket is required for campervans, caravans, motorhomes and similar accommodation vehicles.
  • Standard pitch sizes are approximately 6m x 8m.
  • Please respect neighbouring pitches and follow all instructions issued by campsite stewards.
  • A minimum safety gap must be maintained between vehicles and camping units as directed by event staff and fire safety officers.
  • One accommodation unit is permitted per pitch unless otherwise authorised.
  • Tents may only be pitched alongside vehicles where permitted by the event and where sufficient space is available.
  • No trading is permitted from camping pitches or vehicles.
  • Sound systems and amplified music are not permitted within camping areas.
  • Vehicle movement is prohibited during published event operating hours unless authorised by Event Control or Security.
  • Wastewater and toilet waste must only be disposed of at designated disposal points.
Fire Safety
  • Open fires and fire pits are strictly prohibited.
  • Gas BBQs and unsecured gas cylinders are not permitted.
  • Disposable or raised BBQs may only be used where permitted and must be operated responsibly.
  • Any BBQ considered unsafe may be extinguished or confiscated.
Dogs
  • Well-behaved dogs are welcome and must remain on a lead at all times.
  • Owners are responsible for cleaning up after their dogs and ensuring they do not cause nuisance to other visitors.
Photography, Filming & CCTV
  • By entering the event site, attendees consent to photography, filming and CCTV recording for security, safety and promotional purposes.
  • Professional photography, filming, recording equipment or drone use requires prior written permission from Roadrunner Events Ltd.
Health & Safety
  • Temporary event structures, barriers, stages, marquees and equipment must not be climbed on, tampered with or interfered with.
  • Please report any hazards, suspicious items or safety concerns immediately to Security or Event Control.
  • During any emergency or evacuation, all instructions issued by Security, Stewards, Event Control, Medical Teams or Emergency Services must be followed immediately.
  • Decisions relating to safety and emergency procedures are final.
Medical Services
  • Medical services are provided by independent third-party contractors.
  • Roadrunner Events Ltd accepts no liability for treatment decisions made by medical providers.
Personal Property
  • Vehicles, camping equipment and personal belongings are brought onto site entirely at the owner's risk.
  • Neither Roadrunner Events Ltd nor the venue accepts responsibility for lost, stolen or damaged property.
Accessibility
  • Visitors requiring accessibility assistance should contact the box office prior to the event so that appropriate arrangements can be discussed.
Respect the Festival
  • Please respect fellow visitors, staff, volunteers, traders, performers and the event site.
  • Use the bins provided and help us keep the site clean.
  • Tents, camping equipment and personal belongings must be taken home at the end of the event.
  • Anti-social, dangerous or disruptive behaviour may result in immediate removal from site without refund.
Entry to the event constitutes acceptance of these Terms & Conditions.

Glamping can now be booked direct with the supplier so you have a immediate contact for your needs. Festival tickets would need to be booked with us then the tent direct with them. On arrival, we will be given a list of names which will be check off on the gate.

Thursday 16th July (Early Arrival Ticket Holders Only): 16:00 – 20:00
Friday 17th July: 13:00 – 20:00

Please note that the official festival programme ends at 19:30 on Sunday 19th July, in accordance with licensing regulations and venue restrictions.
However, the celebrations don't end there! The Berwick Bar will remain open until 22:00, and the Silent Disco will continue into the evening, giving everyone the opportunity to round off the weekend in style.
Visitors are welcome – and encouraged – to remain on site until the official departure time of 11:00 on Monday 20th July, allowing plenty of time to relax, pack up and enjoy a safe journey home.

Early entry is strictly pre-booked only. This is designed to allow the visitor a more relaxed set up experience. 

Arrival times: 16:00 - 20:00. Unfortunately, we can not admit visitors after this time.

Camping at Woodshrop Festival

The West Mid Showground is a fully serviced campsite with excellent facilities available throughout the festival, including:
  • Toilet facilities
  • Hot showers
  • Washing-up areas
  • Elsan disposal points
  • Fresh water points
Electric Hook-Ups (EHUs) are available at an additional charge and must be booked in advance when purchasing your tickets. Availability is limited and restricted to one EHU per pitch.

Camping pitches are approximately 6m x 8m, providing plenty of space for you to relax and enjoy the weekend. Awnings and gazebos are welcome, and while pitch sizes are provided as a guide, we simply ask that all visitors are considerate of neighbouring campers and respect the space around them.

Caravans, campervans, motorhomes, tents and other live-in accommodation vehicles are all welcome. Camping options will become available once Festival Tickets have been added to your booking.

One of the things our visitors love most about Woodshrop is the space available on site. We do not oversell our camping areas and work hard to ensure everyone has room to enjoy the festival comfortably.
Yes of course. We welcome friends and family to camp together.

Groups must arrive together to make it easier for everyone. Unfortunately, EHU and non EHU pitches can not camp in the same area. There will be a holding area for groups to wait for their parties on site.

Camping, caravan & motorhome groups are welcome to contact us and we will look at the possibility of creating an area for them and a group discount.

No, we do not allow any generators other than those controlled by the organisers on site.

This is for fire safety reasons and to keep a clean and relaxed environment. EHU's are available to book and greener alternatives are available such as solar power.
Camp fires are not permitted on site other than those organised by the organisers. 
Small above ground BBQ's are permitted but must be attended at all times. They must be at least 5m away from any tents or awnings. Fire wardens will be on site so please be aware that any fire they feel are not suitable may be asked to be extinguished.

Disposable BBQs are not permitted. Please do not dispose of BBQ coals in any bins unless dowsed thoroughly with water first.
Yes, as long as you are considerate to others. All music must be stopped by 23:00 and security will be patrolling to enforce this. 
Woodshrop – We'll do our best to arrange an onsite shop for your convenience. Alternatively, there's a shop just a short walk away on Elsmere Road.
This is due to logistics of the event we can not accommodate this.
No, two vehicles or tents can’t share a pitch. A pitch is up to four adults on the condition they are sharing the same tent, camper etc. The pitch size of 6m / 8m is a guide and a pitch refers to one tent, live in vehicle sleeping up to four adults (no limit on children).
Please be aware that there may be a queue at check in but we will do our best to get you processed as quickly at possible.

Please have you tickets ready for scanning to speed up the process. You will then be issued with a wristband, your festival information, and if applicable your EHU tag. Please read all festival information as this contains vital information such as emergency procedures and emergency numbers. You will then be directed to a holding lane and a member of the team will take you to your pitch.
